POS usage guide

Step-by-step instructions for staff using XRPay’s browser-based point of sale.

This guide covers XRPay’s own browser POS. The optional Shopify POS tile is a separate workflow: follow the Shopify POS instructions for manual custom-payment checkout.

1. Before you start

  1. Sign in to the correct business and open Point of sale. If you see POS Not Enabled, ask an administrator to enable it in Settings and check your plan and wallet setup.
  2. Configure the receiving wallet, payment methods and network. Card and other provider methods need their own eligible setup; a visible option is not proof that it is ready.
  3. Check locations and registers in Manage → Operations. Configure individual staff access and PINs through Manage → Staff & access, where permitted.
  4. Review products, prices, taxes and stock in Manage → Inventory. For Shopify products, connect the store, sync the catalog and verify location mapping first.

Test your browser, scanner and receipt printer before serving customers. Hardware support depends on the device, browser and configured peripherals. Keep staff PINs private.

Practise in Test mode with dedicated Testnet wallets and test assets only. Never use a test confirmation as payment for a real sale.

2. Open your register and shift

  1. Open Operations, select the register and location, and choose Open shift when a new shift is needed.
  2. Count the cash already in the drawer and enter it as the opening float. Do not include expected sales or wallet balances.
  3. Return to the register, select the active shift and unlock with your staff PIN when prompted.
  4. Confirm the business, location, currency and Test/Live mode before taking a payment.

Review any existing shift before opening another. Lock the register when leaving it unattended.

3. Build and review a sale

  1. Search for a product or use a configured scanner, then add the correct variant.
  2. Review quantities, prices, discounts, taxes and the final total. Apply only adjustments your staff role permits.
  3. Add customer details only when needed, such as an email address for a receipt.
  4. Select a payment method after the customer agrees to the total.

A custom amount does not identify a stock item. Use catalog products for stock-aware sales, and synced variants at a mapped location for Shopify writeback.

4. Take payment

Crypto: show the generated QR code or hosted payment page. Ask the customer to check the asset, network, amount and destination in their wallet. Wait for XRPay’s verified confirmation before treating the sale as paid.

A wallet saying “signed”, a customer screenshot or a submitted transaction is not proof of confirmed payment. If the screen times out, check the existing transaction before requesting another payment.

Cash: when enabled, enter the amount actually received, give the displayed change and complete the cash sale. Recording cash does not transfer funds to an XRPay wallet.

Card or other provider methods: follow the configured provider checkout and wait for its confirmed result. Do not record a pending or unsuccessful attempt as paid.

Split tender or store credit: use these only when available for your register. Check each allocation and the remaining balance; one completed part does not mean the whole sale is paid.

Review the completed-sale screen before starting the next sale. Customer payment, merchant payout and platform-fee invoice collection are separate results.

5. Issue a receipt and check the sale

  1. After confirmation, use the available receipt controls to print or email. Verify the customer’s email address before sending.
  2. Open Manage → Receipts to find the sale and review its receipt history.
  3. For Shopify sales, check the linked order and expected stock change separately from payment confirmation.

A printer or email failure does not mean the payment failed. Retry receipt delivery, not the charge. For Shopify sync warnings, resolve the problem and use the integration page’s retry controls; do not create a second sale.

6. Cancel an unpaid request or refund a sale

Unpaid request: select Cancel Sale and wait for confirmation. Closing a tab is not cancellation. If cancellation cannot be verified, retain the reference and check the transaction status.

  1. For a paid sale, open Manage → Returns and locate the original transaction.
  2. Select returned items and quantities, review the amount and choose whether to restock.
  3. Follow the required refund workflow for each original tender. Obtain manager approval where required.
  4. Verify refund completion and the transfer/provider reference. Check restocking and any linked Shopify refund.
Creating a return record does not repay the customer. If a transfer succeeded but synchronization failed, retry the synchronization—not the money transfer. Cancellation cannot reverse an on-ledger payment. Never ask for a customer’s wallet seed.

7. Close and reconcile your shift

  1. Review unresolved payments, returns and offline records.
  2. Open Manage → Operations and review the active shift’s sales and cash movements.
  3. Count physical cash and enter the actual closing amount. Explain discrepancies rather than changing the count to match the expected total.
  4. Complete the closing workflow, verify the shift is closed and review Manage → Reports.

Cash counts exclude wallet balances and card settlements. Closing a shift does not settle provider payouts or pay platform invoices.

8. Troubleshooting

PIN or permission denied: check the business and staff identity. Ask an administrator to review access; do not share another employee’s PIN.

Missing product or wrong stock: check variant, active status and location. For Shopify, review connection permissions and catalog sync before repeating a sale.

Payment pending: check the existing transaction’s network, asset, destination, required tag and amount. Escalate with its reference; do not collect again just because the register has not refreshed.

Offline or server unreachable: follow the connectivity warning. Use offline cash only when enabled and permitted. Do not assume crypto or card confirmation offline. Reconnect and verify queued records synchronized before repeating them.

A phone cannot open the QR link: customers need a reachable payment URL. Localhost points to their own device; a development setup needs its configured HTTPS preview.

Printer or scanner problem: check power, pairing and browser permissions, then use a supported fallback. Keep the sale reference and retry receipts separately.

Before taking real payments, rehearse a test sale, receipt, unpaid cancellation, refund and shift close on your actual device and staff role.
